Job Description:
Summary The Iowa State University Library is seeking applicants for an Administrative Specialist II position.
This position provides executive-level administrative support to the Dean of the Library and Library administrators.
The Library values creating a welcoming and inclusive environment to the Administrative Suite and Library, which will be a key component of this position.
Responsibilities will include greeting visitors and managing the office.
This role will exercise independent judgement and initiative, have the ability to use discretion, and work under tight deadlines while maintaining professionalism and accuracy.
This position requires a high degree of organizational and time management skills, project management, written and oral communications skill as well as effective problem-solving abilities for complex issues and information.
Responsibilities include working with supervisors to identify staff training needs and develop modules appropriate to job responsibilities throughout the library, develop best practices in hiring library staff and support hiring managers through the process, and develop and maintain onboarding and offboarding practices.
Oversee routine personnel functions and encourage best practices in annual reviews, position descriptions, and support staff events and team and project management.
Establishing open and supportive communications and relationships with supervisors and staff is essential.
Excellent computer knowledge, virtual meeting platforms, and proficiency with learning new software and systems are essential for this position.
Position Description & Responsibilities Administrative Assistance (45% of Time) Maintain Library-specific staff and student employee handbooks, policies, and resources.
Maintain and continuously improve library orientation, onboarding, and offboarding.
Develop and maintain a system to track the completion of training, onboarding, and offboarding by Library staff.
Maintain best practices to track the completion and documentation for annual staff evaluations, file maintenance for position descriptions and responsibilities, and share UHR tools with supervisors.
Track and share University HR announcements, changes, and activities that are relevant to library staff.
Work with supervisors and staff to identify training needs and develop and maintain a system to track the completion of required training.
Assess training opportunities.
Provide team and project management support as applicable.
Performs a variety of administrative support activities.
Prepares minutes, notices, agendas, and correspondence.
Conducts moderately complex research, gathers data, and prepares reports.
Arrange calls and schedule meetings.
Support Staff Hiring Process (25% of Time) Maintain the Library-specific staff hiring process and checklist and identify and implement best practices.
Support hiring manager's administrative needs throughout the recruitment process as applicable.
When position search processes aren't utilizing full-cycle recruitment through UHR collaborate with the hiring manager to identify and utilize industry-specific job postings and associations to advertise position openings.
Assist in arranging travel, and interview schedules and scheduling meetings and meeting rooms.
Manage mandatory document retention for the hiring process.
Serve as backup to the Student JM Support position.
Staff Recognition & Retention Programming (25% of Time) Serve as the sponsor for the Staff Awards and Recognition committee and provide guidance.
Assist with events and activities celebrating library staff, including student employees and custodians.
Serve as the point of contact for the Library Staff Association and provide support.
Support and provide guidance for the mentoring program committee.
Provide logistical support for internal programming and events.
