Position Summary Ensures all actions taken in carrying out responsibilities support patient-centered care.
Acts as the Vice President(s)' and Executive Director administrative professional.
Under general direction, performs various secretarial and routine administrative duties, prepares records minutes, and coordinates arrangements.
Unit-Specific Position Responsibilities Manages Vice President(s) and other incoming phone calls; directs calls to appropriate parties or takes messages.
Manages Vice President(s) and other senior managers' calendars, correspondence, scheduling of meetings, and travel arrangements.
Greets visitors and determines whether they should be given access to specific individuals.
Opens, sorts, and distributes incoming correspondence.
Composes letters and memoranda; compiles reports, analyzes, and presentations in an organized manner.
Exercises initiative and considerable judgment in answering inquiries and referring to other organizational or community resources.
Prepares records and assists Vice President(s)' filing systems, including electronic and hard copy records.
Coordinates travel as requested and produces associated paperwork for expense reimbursement.
Reconciles Vice President(s)' and Executive Directors' corporate charge card accounts and maintains records.
Performs recording secretary functions, including maintaining communication with management, handling recordkeeping functions and keeping records as required, preparing agendas, assembling and distributing packets, and scheduling conference rooms for meetings along with AV equipment, food, etc.
Prioritizes workload with minimal supervision; produces accurate work.
Demonstrates above-average working knowledge of computer software programs.
Addresses patient concerns and works with appropriate manager/administrator to address these concerns.
Interacts with the public, following up on concerns and ensuring they have been addressed and appropriately documented.
Performs payroll entry and approval via Kronos for Executive Directors.
Takes and prepares minutes for committee meetings.
Maintains communication with management, handling recordkeeping functions and keeping records as required.
Prepares agendas, assembles and distributes packets.
Schedules conference rooms for meetings along with AV Required Qualifications (Including any licensure, certification, and education):
One or more years of relevant admin or business support experience Preferred
Qualifications:
Certified Administrative Professional (CAP) or, Certified Administrative Professional - Organizational Management (CAP-OM) cHAP = Certified Healthcare Administrative Professional Required Knowledge, Skills &
Experience:
Ability to prioritize multiple work demands and work independently with minimal supervision.
Skills in effective oral and written communication in English.
Knowledge of basic arithmetic and algebra and their applications.
Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.
Active Listening skills, giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times Ability to utilize Microsoft Office:
Outlook, Word, Excel, PowerPoint, Considerable knowledge of business letter writing and forms; significant knowledge of office practices and procedures and standard office machines and equipment; knowledge of letter procedures, forms, and terminology; knowledge of human relations practices.
Ability to provide a full range of secretarial services, including use of discretionary judgment in dispensing information; compose letters or memoranda, prepare reports and establish and maintain records, and files; ability to deal effectively with the public.

80 hour Full Time Non Exempt, Day Shift, 8:

Estimated Salary: $20 to $28 per hour based on qualifications.
