This multifaceted position involves maintaining financial records, facilitating member communication, and overseeing essential office functions.
1.
Financial Records Management:
Daily Business Operations:
Handle tasks such as depositing checks, paying bills promptly, and coordinating meeting registrations.
Accurately bill and communicate fees for dues, education programs and consulting income.
Financial Statements:
Prepare and maintain financial statements, including income statements, balance sheets, and budget comparisons.
Provide these reports to management in a timely and accurate manner.
Collaborate with the executive director to highlight any irregularities or deviations from the budget.
Membership Dues:
Maintain an accurate record of dues paid and communicate with the Executive Director on outstanding dues.
Maintain accurate membership and contact lists.
Payroll and Tax Reporting:
(Preferred/optional) Complete payroll tax filings, including monthly, quarterly, and annual reports.
Handle employee benefit reports accurately and promptly.
Annual Audit:
Prepare schedules and documents in preparation for the IIC annual audit.
Serve as the primary contact with the IIC auditor.

Member Communication:
Courteous and Timely Communication:
Interact with IIC members via telephone, email, e-marketing, and written correspondence.
Provide exceptional service and address inquiries promptly Training and Event Updates:
Collaborate with other staff members to inform members about upcoming training sessions, meetings, legislative developments, and industry events.
Newsletters:
Assist in developing and producing 5 newsletters annually for IIC members.
Ensure timely distribution of newsletters to keep members informed.

Office Functions:
Support Staff Functions:
Provide administrative support to staff members.
Organize office layout and order stationery and equipment.
Maintain the office condition and arrange necessary repairs.
Qualifications:
Strong organizational and multitasking skills.
Proficiency in financial record-keeping and reporting.
QuickBooks knowlege preferred.
Proficient and familiarity with Microsoft products including Word, Excel, PowerPoint, 365 and Access Excellent communication skills (telephone, email, and written).
Attention to detail and accuracy.
Familiarity with payroll processes and tax reporting.
