Service Manager Summary Description:
Assist customers with scheduling service on their motorcycle for a repair, replacement, upgrade or recall in the service department.
Duties and
Responsibilities:
Answering the telephone (ideally within 3 rings) and scheduling appointments.
Calling customer to confirm pre-booked appointments or authorizing additional repair.
Writing up repair orders; getting the full story (who? what? where? how? when? why?) to help aid the technician in their diagnostic.
Promote sales for the dealerships, new products, units, and services, while assisting customers with the overall running and well-being of their unit.
Sets up unit pick up and/or delivery as and when necessary.
Reviewing manufacturer recall lists and calling customers for appointments.
Ensures repair order is ready to be cashed out following completion of repairs; be able to summarize all completed work and charges to the customer and verify that the final invoice reconciles with the work performed on the repair order.
Noting ALL communications with EVERY customer in database (dms).
Corresponding with (manufacturer or extended) warranty or insurance companies with regards to the repairs on the unit in question.

Greet customers face to face, translate customer's complaints into standard repair terminology as well as technician findings into easier to understand language.
Work up estimates and sell repair work as needed.
Ensure labor times on repair orders is fair and correct.
Noting ALL communications with EVERY customer in Lightspeed.
Pass manufacturer and industry exams, maintain accreditation.
Keep current with manufacturer online communication, specific unit issues and complaints.
Always maintain a professional appearance, and a positive working relationship with all employees.
Hold technicians accountable for their findings, review the diagnostic, ensure it has been carried out correctly and thoroughly.
Liaise with the parts department re:
parts ordered, estimated arrival times, keeping the customer up to date (especially when parts are back ordered) Call sales customers re:
setting up first service.
Verify manufacturer or extended warranty coverage as applicable, and if any recalls exist on the unit at check in.
Physical Demands:
Help load and unload customers' units as and when needed.
Test driving units after the completion of repairs.
Always maintain a professional appearance.
A positive working relationship with all employees.
Adhere to company safety standards, policies, and procedures.
Working Conditions:
Potential busy level commonly found in a motor vehicle service department.
Occasionally exposed to exhaust fumes or other airborne particles.
Frequently works on computer for long periods of time with constant interruptions.
